Eligible Workspace administrators can show a short policy before a Meet call. The new notice is separate from participant consent and from deciding who receives Gemini notes.

01
THE CONTEXT

What the pre-call notice changes

Google’s Workspace announcement adds an administrator-written message to the Meet Green Room, the screen people see before joining. A notice can include a policy link and appear for every meeting or when recording, transcription or Gemini note-taking is active. The announcement is dated 3 November 2026; the extended rollout began on 2 November for both release tracks and may exceed 15 days. Availability in a particular organisation therefore still needs checking.

02
WHY IT MATTERS

Which accounts are listed

Google lists Business Standard and Plus, Enterprise Standard and Plus, Education Fundamentals, Standard and Plus, Frontline Plus, and the Google AI Pro for Education add-on. The feature starts off. Administrators can configure it by organisational unit in Meet Safety settings. Google’s setup guide allows up to 1,000 plain-text characters and a policy URL; external guests see the host organisation’s notice. The announcement does not introduce a new standalone price or establish that Business Starter and free personal accounts receive this control.

03
WHAT HAPPENS NEXT

A notice and explicit consent are different controls

The separate Meet participant-consent setting concerns recording, transcription and Gemini notes. Google’s administrator guide says that setting applies to web and mobile users, while Meet hardware and PSTN dial-in participants are automatically consented by the product. Organisations should examine those joining routes rather than assuming that displaying a message collects an equivalent response from everyone. Our practical conclusion is to review the notice, consent configuration and approved meeting policy together; this is not a legal-compliance certification.

04
THE CONTEXT

Check the document audience, not only the call

The note-taking help page distinguishes three recipient options: all invited guests, internal invited guests, or hosts and co-hosts. Invited is not the same as attended. Before an external client call, confirm the selected audience and inspect the resulting document permissions using authorised accounts. Then review the draft for omitted qualifications, incorrect action owners and proposals rewritten as decisions. Google warns that AI summaries may be inaccurate or incomplete. A plausible recap is not evidence that every named action was agreed.

05
THE CONTEXT

Try a reversible meeting-note pilot

Use the meeting-note exercise in Model Pilot with fictional notes and a known answer key. Ask for decisions, proposals, owners and unresolved dates separately. Keep the first output with a reviewer; do not let it send invitations or circulate minutes. Record the chosen account, notice setting, capture controls, recipient list and corrections. The Gemini product profile can help distinguish product routes, but it does not substitute for the organisation’s Meet edition and administrator checks. If either the facts or audience are unclear, use a manually reviewed draft.

HUBAI VIEW

Check the notice, the capture controls and the final document audience as three different decisions.

What to verify next

1Confirm the organisation’s edition and actual rollout.

2Review the notice separately from capture and consent controls.

3Check invited guests, attendees and note recipients separately.

4Approve the content and document permissions before distribution.
